Reports To: Director of Programming

Primary Responsibilities
The Programming Intern is responsible for assisting with Programming event production through the entirety of its life cycle; including but not limited to pre-production, vendor liaise, staffing, on-site execution, internal coordination, and postproduction reporting at The ‘Quin House. Reporting into the Programming Experience Producer the role supports the strategic programming plan, as well as setting the standard of events by managing the calendar of programming events, creating, and communicating detailed run sheets, arranging formative plans with partners, and arranging logistical details. The Programming Events Producer is responsible for combining essential organizational skills and effective use of resources to execute events from concept to completion.
The ‘Quin House's team is lean and operates with a mindset of 'no task is too small.' The Programming Coordinator must expect to manage through ambiguity and will need to be ready to support the team in meeting the needs of the house. Furthermore, it is vital that this individual develop a rapport with all members, managers, and staff to ensure an outstanding member experience.

About This Role

  • Support and assist with pre-production and day of execution including but not limited to setting up, checking members in, assisting with member registrations and manning the reservations lists for last minute changes or cancellations
  • Liaise with team and partners to collect all pre-production event needs.
  • Support The Experience Producer with pre-production and execution of membership initiative events and programming events when needed.
  • Communicate Event details/changes with all internal departments (Membership, F&B, Facilities, Operations).
  • Organize communications and back-end details to launch programming invitations on the member portal.
  • Fielding programming email inbox to the correct line of contact.
  • In collaboration with the Programming and Events Coordinator, create weekly Events meeting packet, summarizing event needs for the upcoming week (i.e., run of the show, BEOs, staffing, reservation list, AV needs, floor plans p/event).
  • Collect and submit COIs and event notices to the building.
  • Manage vendor contact list.
  • Survey members post event and create event feedback reports.

  • Open availability and flexibility to work according to the needs of the business
  • Comfortable with WORD, PowerPoint, Excel, Lucidchart and Canva
  • Bilingual (Spanish and English) preferred
